Do not open the door
This is the single most common and most damaging instinct. A closed ultra-low freezer that has lost cooling will hold usable temperature for a meaningful period because the thermal mass inside is enormous. Every door opening spends a portion of that budget, and warm humid room air entering a −80 °C chamber immediately begins forming frost on seals and surfaces — which creates a second problem on top of the first.
Resist the urge to check on the samples. The display will tell you what you need to know.
Write down three things
Before you call anyone, note the current display temperature, the exact time, and the alarm code or message if one is shown. If you can, note what the temperature was an hour ago from your monitoring system.
Those three data points let a technician determine the rate of rise, which is the difference between a fault that needs attention today and one that needs attention in the next twenty minutes. A unit climbing one degree an hour and a unit climbing one degree a minute are completely different emergencies.
Find the model and serial number
Usually on a plate inside the door frame or on the rear panel. Having it ready when you call means a technician can arrive with the right parts rather than arriving to identify what parts they need.
Check the obvious external causes
Without opening the freezer door, check whether the unit has power and whether a breaker has tripped. Check that the condenser filter is not visibly blocked and that nothing is obstructing airflow at the front or rear. Check whether the room itself has become unusually warm — a failed building HVAC system in July is a surprisingly common root cause of a room full of struggling ultra-low freezers.
If the unit has recently been moved, check clearances. Ultra-low freezers pushed too close to a wall will run hot and eventually fail to hold set point.
Call before you move anything
Transferring product is not a neutral act. It exposes samples to warming, it takes time, and it needs somewhere genuinely cold to go. In a meaningful number of cases the unit recovers or can be stabilised on site, and an unnecessary transfer creates more risk than it removes.
Call and describe the situation first. If a transfer is genuinely needed, that is exactly why we keep three modern −86 °C freezers available.
Afterwards: find out why
A freezer that has alarmed once and been reset has not been fixed. Condenser fouling, a degrading door gasket, a failing stage in the cascade system, or a drifting sensor all produce alarms that appear to resolve themselves. They come back, usually at a worse time.
Once the immediate crisis is over, the useful question is what changed — and whether the same thing is quietly developing in the unit next to it.
